As I used to get asked this regularly, here are the basic steps to setting up an official IPMS (UK) Branch/SIG:
1) You need to find 5 current, fully paid up IPMS (UK) members (including yourself) who wish to form the Branch/SIG. These people should live locally in the case of a Branch and be regular attendees/participants in your Branch/SIG activities.
2) One of these 5 people must be designated by yourselves as the Branch Secretary/Leader (i.e. a point of contact).
3) Choose a name for your Branch/SIG. For Branches, this should be geographically representative of the area where you meet/intend to meet and include the term IPMS/IPMS (UK) in the name (e.g. 'IPMS Bolton', 'IPMS Abingdon' etc.). For SIGs, it should be representative of your Special Interest (e.g. Spitfire SIG, Battleship SIG etc.).
4) You should check the list of existing Branches/SIGs (on the IPMS (UK) website) in order to ensure that you choose an original name, and to make sure that a Branch doesn't already exist in your area, or that a SIG covering your special interest doesn’t already exist. If one already does exist, please consider lending your support to that one instead so as to prevent duplication and diluted effort.
5) Send the names, signatures and IPMS (UK) membership numbers of your founder members to the UKLO (currently Phil Cater) in a letter (these will be checked against the membership roll of the society for currency) along with the postal address and contact information of your nominated Branch/SIG Secretary/Leader. The UKLO's details can be found on the Committee page of the IPMS (UK) Website. www.ipms-uk.co.uk/committee.htm
6) Once he has this information the UKLO will send your Secretary/Leader an electronic copy (or a paper copy if without access to e-mail) of the Society's suggested rules and regulations for forming and running a fully constituted IPMS (UK) Branch/SIG. This includes a formal acknowledgement that IPMS (UK) bears no financial or legal responsibilities for the activities of your Branch/SIG.
7) Your Branch/SIG Secretary/Leader should sign, date and return one copy of the acknowledgement to the UKLO (found at the back of the B+S Rules) which he will countersign and then send a photocopy back for your records.
8) Providing everything is in order, The UKLO will authorise the formation of your Branch/SIG and will report it at the next EC meeting (held every 2-3 months).
9) News of your new Branch will follow to the membership via the IPMS (UK) Website and in the Society Magazine if you wish to advertise it.
It's that simple really!
